We begin with a structured briefing to understand your procurement objectives, the stage of the process, the supplier market you want to reach and any specific regulatory requirements. We then produce an event plan setting out the recommended format, timeline, attendee capacity and documentation framework for your approval.
Supplier Outreach and Registration
We manage the full supplier invitation process — publishing the event on relevant procurement portals, conducting targeted outreach to SMEs in the relevant sector and geography, managing the registration platform and sending pre-event communications. We report on registration numbers weekly and advise on any outreach adjustments needed to achieve target attendance.
Content and Logistics Preparation
We develop the full event agenda, brief the buyer presentation team, produce all supplier-facing materials and manage venue or virtual platform arrangements. For hybrid and virtual events, we conduct technical rehearsals with all presenting parties. All content is reviewed for procurement compliance before finalisation.
Event Delivery and Facilitation
We chair and facilitate the event from start to finish — managing the run of play, ensuring equal access for all attendees, handling real-time logistics and capturing all questions and contributions. Where one-to-one sessions are part of the format, we manage the scheduling and time-keeping throughout. Buyers present. We manage everything else.
Documentation and Market Intelligence
Within five working days of the event, we deliver the full post-event documentation pack — including the attendance record, anonymised Q&A log, event summary report and market intelligence analysis. All documents are formatted for inclusion in the procurement file and meet the record-keeping requirements of the Procurement Act 2023.
