What is a supplier day?

Where buyers meet the market — before the tender

A supplier day is a structured engagement event that brings public sector buyers face to face with the supplier market. They take place at different stages of the procurement cycle — from early market engagement before a contract is designed, through to briefing events for live procurements and annual review days for framework suppliers.

When run well, supplier days improve the quality of competition, help buyers understand what the market can deliver, and give SMEs a genuine opportunity to demonstrate their capability before a single bid is written.

When run poorly, they create confusion, fairness concerns and procurement risk. The difference is almost always in the planning and facilitation.

Required under the Procurement Act 2023 for many above-threshold procurements through the new Transparency Notice obligations
Proven to increase SME participation and improve bid quality when structured correctly
A legal and reputational risk if managed without proper documentation and equal treatment of all attendees
“Well-designed supplier engagement is one of the most cost-effective things a buying organisation can do. It improves the quality of competition, reduces the risk of challenge and gives SMEs a fair shot at contracts they deserve to win.”

Who we work with

We work with both sides of the procurement table

Our experience covers both the buyer and supplier perspective — which means we understand what each party needs from a supplier day to make it genuinely valuable.

What we deliver

Everything needed for a professionally run event

Camson Commercial manages every element of the supplier day — from initial planning through to the post-event documentation pack. You focus on the conversation. We handle everything else.

01
Event Strategy and Design
We work with you to design an event structure that meets your objectives, complies with procurement regulations and gives suppliers a genuinely valuable experience — not a box-ticking exercise.
02
Supplier Outreach and Registration
We manage the invitation process including portal publication, targeted outreach to relevant SMEs, registration management and pre-event communications to all attendees.
03
Agenda and Content Development
We develop the full event agenda, buyer presentation briefing, supplier information packs and any pre-read materials — all aligned to procurement compliance requirements.
04
On the Day Facilitation
We chair and facilitate the event, manage the Q&A process, ensure equal treatment of all attendees and handle the logistics — whether in person, virtual or hybrid.
05
Questions and Answers Management
We capture all questions raised, draft responses in collaboration with the buyer team, and publish a full anonymised Q&A record to all attendees to maintain fairness and transparency.
06
Post-Event Documentation
Every event is fully documented. We produce an attendance record, Q&A log, event summary report and market intelligence summary — all suitable for inclusion in the procurement file.
07
One-to-One Supplier Meetings
Where appropriate, we structure and manage a programme of short one-to-one sessions between individual suppliers and buyer representatives — maximising value whilst maintaining probity.
08
Market Intelligence Report
Following the event, we produce a structured market intelligence summary identifying key themes from supplier feedback, capability gaps and market insights to inform the specification development process.
09
Procurement Compliance Oversight
Throughout every stage, we apply our knowledge of the Procurement Act 2023 to ensure the event meets transparency, equal treatment and record-keeping obligations — protecting both buyer and supplier.
How we work

From first conversation to final report

A structured five-stage process that keeps everything on track, on time and fully compliant with procurement law.

1
Week 1 to 2

Discovery and Planning

We begin with a structured briefing to understand your procurement objectives, the stage of the process, the supplier market you want to reach and any specific regulatory requirements. We then produce an event plan setting out the recommended format, timeline, attendee capacity and documentation framework for your approval.

Objectives briefing Format recommendation Compliance review Event plan delivered
2
Week 2 to 4

Supplier Outreach and Registration

We manage the full supplier invitation process — publishing the event on relevant procurement portals, conducting targeted outreach to SMEs in the relevant sector and geography, managing the registration platform and sending pre-event communications. We report on registration numbers weekly and advise on any outreach adjustments needed to achieve target attendance.

Portal publication SME outreach Registration management Pre-event pack to suppliers
3
Week 3 to 4

Content and Logistics Preparation

We develop the full event agenda, brief the buyer presentation team, produce all supplier-facing materials and manage venue or virtual platform arrangements. For hybrid and virtual events, we conduct technical rehearsals with all presenting parties. All content is reviewed for procurement compliance before finalisation.

Where one-to-one sessions are part of the format, we manage the scheduling and time-keeping throughout. Buyers present. We manage everything else.

Why Camson Commercial

We understand both sides of the table

Most event management companies can organise a room. What they cannot do is navigate the procurement compliance requirements, manage the Q&A process with legal defensibility, or produce market intelligence that is genuinely useful to a procurement team.

Camson Commercial brings specialist procurement knowledge to every event we manage. We understand what buyers need to demonstrate under the Procurement Act 2023 and we understand what SMEs need from a supplier day to make it worth attending.

Discuss your event
Procurement Act 2023 expertiseWe apply procurement law at every stage — protecting buyers from challenge and ensuring suppliers are treated fairly and equally.
SME market knowledgeWe know the SME supplier community and how to reach them — ensuring your event attracts the right businesses, not just the usual suspects.
Procurement-grade documentationEvery event produces a complete audit trail — attendance records, Q&A logs and market intelligence reports built for the procurement file, not the filing cabinet.
End to end managementFrom planning to post-event report, we manage every element. Buyers present their requirement. We handle everything else so they can focus on the conversation.
